Position: Administrative Assistant  
Worksite: Sexual Assault Support Services for Women SDG&A
Responsible to: Executive Director
Classification: Part-time, permanent position

Summary


Under the direction and supervision of the Executive Director, the Administrative Assistant will provide administrative and office support to the agency. The program is for adult women (inclusive of cis, non-binary and trans women) and youth 16 years of age and over who have experienced sexual assault.

This is a part-time, in-office position consisting of 3 shifts per week (22.5 hours). 

Qualifications

Education, training, and experience 

  • College diploma in office administration, business or related education.
  • Sound knowledge and understanding of office equipment and computer programs and general administrative tasks.
  • 2 years minimum related experience or demonstrated combination of education and experience.

Job Skills and Abilities 

  • Excellent time, organizational and personal management skills.
  • Demonstrated teamwork and ability to work collaboratively.
  • Excellent oral, written, and interpersonal communication skills.
  • Bilingualism French/English is an asset.
  • Works in a respectful and cooperative manner with staff and clients. 
  • General understanding of gender-based violence, particularly through the lens of intersectionality, diversity, and inclusion.  

Additional Requirements 

  • Criminal record check for vulnerable populations. 
  • Valid Ontario Driver’s license and access to a vehicle.
  • Adheres to the philosophy, policies, and procedures of SASS for Women SDG&A.
  • Signs and adheres to Oath of Confidentiality and Code of Ethics.

Accountability 

  • Reports to and meets regularly with the Director to receive administrative assignments.
  • Maintains current knowledge of and complies with SASS’s mandate, mission, policies and procedures.
  • Maintains strict confidentiality of information gained because of employment with SASS.
  • Alerts the Director promptly of any extraordinary circumstances, including  financial, legal, or ethical issues that may arise. 

Community Liaison and Public Relations

  • Works to develop and maintain strong links and good relationships with other community agencies and service providers.
  • Always represents SASS positively and professionally.

Duties & Responsibilities

  • Performs administrative office tasks such as printing, filing, organizing documents and some basic bookkeeping tasks.
  • Orders and replenishes office equipment and supplies. 
  • Manages administrative accounts and supports staff with account creation and management.
  • Responds to and communicates in a professional manner with clients, board members, volunteers and staff via email, telephone and newsletters.
  • Receives and prepares packages and incoming/outgoing mail and deliveries.
  • Maintains accurate documentation and file management systems that comply with SASS record keeping guidelines. 
  • Ensures programs operate in a safe, clean, and welcoming environment.
  • Consults with the Director regarding proposed extraordinary expenditures.
  • Performs other related duties as required.
